When licensing an instructional eResource or digital tool, it is essential first to evaluate the resource using established criteria and prioritize those already in use. Schools must ascertain their capability to administer the resource, identify local administrators, and manage account creation and deletion effectively.
Determine if the local school is able to administer the resource?

Account Creation
Intentionally select the resource using TDSB selection criteria. Prioritize resources already in use in TDSB schools.
Privacy and Security Review
Purchase and Implementation
School Administrator ensures notification is sent to parents regarding the use of the resource and any sharing of personal information.
Local Resource Administer sets up account, ensures privacy and security recomendations are followed, and engages in ongoing management including data deletion when resource is no longer needed and account closure.
Once all documentation is complete (Quote and Privacy and Security) contact TDSB Purchasing to complete order.
Complete and Review Privacy and Security Process.
If privacy and security process has not been completed, reconsider use of resource timelines. This may take several months and require liasing with the vendor. Submit privacy and security review request through Service Now.
If a privacy and security review has already been completed, review the recomendations and ensure you can follow them. Ensure local resource administrator is aware of recomendations.
Purchase Planning
Determine the best pricing and purchase process.
Seek a quote from the vendor.
Contact TDSB purchasing to see if the board has an existing relationship with the vendor. Ask about pricing and privacy and security processes.
